Job Summary
As an Executive Assistant, you will provide comprehensive administrative and organizational support to our executive team. You will play a critical role in ensuring the smooth operation of our executive office, managing complex schedules, and handling confidential information with the utmost discretion.
Responsibilities
- Calendar Management:
- Proactively manage and coordinate complex schedules, including meetings, appointments, and travel arrangements.
- Prioritize and schedule meetings, ensuring optimal time management and efficient use of executive time.
- Anticipate potential scheduling conflicts and proactively resolve them.
- Travel Arrangements:
- Plan and coordinate domestic and international travel arrangements, including booking flights, accommodations, and ground transportation.
- Manage visa and passport requirements, ensuring timely processing and compliance with immigration regulations.
- Prepare detailed travel itineraries and expense reports.
- Administrative Support:
- Handle a wide range of administrative tasks, such as managing correspondence, filing, and maintaining organized records.
- Prepare presentations, reports, and other documents as needed.
- Screen and prioritize incoming calls and emails, responding to inquiries or directing them to the appropriate parties.
- Event Planning:
- Assist in planning and coordinating company events, conferences, and meetings, including venue selection, logistics, and guest management.
- Manage RSVPs, seating arrangements, and other event details.
- Confidential Matters:
- Handle highly confidential information with discretion and professionalism.
- Maintain strict confidentiality regarding sensitive company matters.
- Project Management:
- Assist with ad-hoc projects as assigned, such as research, data analysis, or special initiatives.
- Team Collaboration:
- Collaborate effectively with team members across different departments to ensure seamless operations.
- Build strong working relationships with colleagues at all levels of the organization.
Qualifications
- Bachelor’s degree or equivalent experience.
- Minimum of 5 years of experience as an Executive Assistant or similar role.
- Proven ability to manage complex calendars and prioritize tasks effectively.
- Strong organizational and time management skills.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Experience with travel planning and expense reporting.
- Ability to work independently and as part of a team.
- Discretion and ability to handle confidential information.
- Strong attention to detail.
- Ability to adapt to changing priorities and deadlines.
Preferred Qualifications
- Experience in the aerospace or technology industry.
- Knowledge of project management methodologies.
