Position Overview:
The Remote Assistant will provide administrative and organizational support to various departments, ensuring that projects run efficiently and deadlines are met. This role requires strong attention to detail, excellent communication skills, and the ability to multitask in a fast-paced environment. Key Responsibilities:

  • Manage calendars, schedule meetings, and coordinate appointments across teams.
  • Handle email correspondence, prepare reports, and draft official documents.
  • Assist with travel arrangements, expense tracking, and procurement tasks.
  • Organize and maintain digital files, documents, and databases.
  • Provide support in preparing presentations, meeting agendas, and project updates.
  • Conduct research on various topics as needed to support ongoing projects.
  • Assist with internal and external communications, including client and vendor interactions.
  • Monitor deadlines and follow up on outstanding tasks to ensure project timelines are met.
  • Support HR, finance, and operations teams with administrative tasks as needed.
  • Manage and update spreadsheets, reports, and task lists to keep workflows organized.

Qualifications:

  • Bachelor’s degree in Business Administration, Communications, or a related field (preferred).
  • 1+ years of experience in an administrative or assistant role, preferably in a tech or aerospace company.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
  • Experience with project management tools (e.g., Asana, Trello, Notion) is a plus.
  • Excellent written and verbal communication skills.
  • Strong organizational and time-management skills with the ability to prioritize tasks effectively.
  • Ability to work independently and proactively in a remote environment.
  • Tech-savvy with the ability to quickly learn and adapt to new tools and software.
  • High level of professionalism and discretion in handling confidential information.

Preferred Qualifications:

  • Experience working remotely and managing virtual teams.
  • Familiarity with aerospace, technology, or engineering industries.
  • Basic knowledge of accounting and financial tracking software.
